Our Story

How Oakvault Came to Be

Oakvault started with a straightforward observation: families often find themselves surrounded by important papers they do not quite know how to handle. Not because the papers are difficult, but because no one has ever shown them a calm, clear way to begin.

We opened our doors in Chiang Mai in 2019, initially offering a single document sorting visit as a way to help one family through a difficult period. Word spread quietly, and over the following years we built a small suite of support services — all grounded in the same principle: gentle help, no pressure, no advice on matters outside our scope.

The name "Oakvault" speaks to what we try to be. An oak is patient and sturdy. A vault is a place where things are kept safely. Together, they describe the kind of environment we aim to bring to every family we work with — steady, trustworthy, and unhurried.

Our team is small and deliberate. We take on a limited number of families each month so that each household receives the attention it deserves. All services remain general and informational — we do not offer personal, professional, or specialist advice of any kind.

Mission & Values

What We Stand For

Gentleness

We approach every engagement with patience. There is no timeline we impose, no pressure we apply. Families move at the pace that feels right for them.

Clarity of Scope

We are clear about what we do and what we do not do. Document organisation and general information only — nothing that strays into personal advice or specialist territory.

Respect

Family records often carry real meaning. We handle every document — and every family — with the kind of quiet respect that such moments deserve.

Our People

The Oakvault Team

A small group of careful, considerate people who take their work seriously without taking themselves too seriously.

Our Standards

How We Work

A few consistent principles that guide every service we offer.

Confidentiality First

Every document we see is treated as private. We do not photograph, copy, or retain records beyond what the family explicitly permits.

Clear Written Summaries

After each sorting visit, we provide a plain written list of what was organised. Nothing is interpreted — just noted clearly.

Plain Language Throughout

All materials, summaries, and workshop content are written in clear, everyday English — and available in Thai on request.

No Personal Advice

Our scope is administrative and informational only. We will always direct families to the right external parties when questions fall outside our remit.

Punctual & Prepared

We arrive at agreed times with everything needed for the visit. If circumstances change, we communicate promptly and reschedule at no additional cost.

Minimal Footprint

We use paper-based systems where possible, keep digital records to a minimum, and never store personal data beyond the period needed for service delivery.

Family Record Organisation in Chiang Mai

Households in Northern Thailand often accumulate papers across many years — identity documents, property papers, correspondence, old receipts, and records from a wide range of personal matters. Keeping these in order is rarely a priority until it suddenly becomes one.

Oakvault offers a calm, structured way to bring order to these collections without pressure or disruption. Our Document Sorting Visits are suited to any household looking for a tidy starting point. Our Family Records Workshops provide a broader educational foundation for those who want to understand how records are generally kept and categorised. The Steady Archive Plan suits families who prefer ongoing, quiet support over time.

All Oakvault services are educational and administrative in nature. We operate in and around Chiang Mai and are familiar with the particular mix of records that Thai, expat, and mixed-nationality families typically hold. Our team works comfortably in both English and Thai.

If your family has been putting off a records tidy-up, Oakvault offers a simple, no-pressure way to begin. Reach out through the contact page and we will arrange a brief introductory call at a time that suits you.
