1. Definitions

In these Terms & Conditions the following words carry the meanings set out below:

• "Agreement" means these Terms & Conditions together with any service booking confirmation issued to you.
• "Company", "we", "us", "our" means Oakvault, operating at 44 Chaiyaphum Road, Si Phum, Chiang Mai 50200, Thailand.
• "Services" means the document organisation visits, general information workshops, and archive planning support described on our website and booking materials.
• "User", "you", "your" means any individual who accesses our website or engages our Services.
• "Content" means all text, materials, templates, and information sheets made available by Oakvault in the course of providing the Services.
• "Site" means our website accessible at the domain associated with oakvault.club.

2. Acceptance of Terms

By using our Site or engaging our Services, you confirm that:

• You are at least 18 years of age or, where a minimum age differs under applicable law, the higher age applies.
• You have the legal capacity to enter into a binding agreement.
• You accept these Terms & Conditions in full. If you do not agree, please refrain from using our Site or Services.

Booking a service, submitting an enquiry form, or continuing to browse the Site following any update to these Terms constitutes your acceptance of the current version.

3. Service Description

Oakvault offers three document organisation and general information services:

• Document Sorting Visit (฿3,400): An in-person administrative visit to help households arrange important documents into a clear, labelled order. This is an organisational and informational service only, with no advice given on any specific matter.
• Family Records Workshop (฿8,900): A general-education session outlining how family records are commonly organised and maintained, presented in plain language. Content is general in nature and not tailored to any individual's personal situation.
• Steady Archive Plan (฿22,500): An ongoing arrangement providing periodic organising assistance and access to general templates and information sheets. All materials provided are general and informational only.

Services are available in Chiang Mai, Thailand, and surrounding areas, subject to reasonable scheduling. We may decline any booking at our discretion and will communicate this promptly.

4. User Responsibilities

When using our Site or Services, you agree to:

• Provide accurate and complete information when making a booking or enquiry.
• Ensure appropriate access is available for any in-person service appointment.
• Use the Site and all Content for lawful purposes only.
• Refrain from reproducing, distributing, or commercially exploiting any Content without our prior written permission.
• Refrain from uploading or transmitting to us any material that is unlawful, harmful, or infringes third-party rights.
• Understand that our Services are general and organisational in nature and do not constitute legal, financial, medical, or any other professional advice.

5. Intellectual Property

All Content, design elements, logos, and materials on the Site and within our Services are the property of Oakvault or its licensors and are protected by applicable intellectual property laws.

We grant you a limited, non-exclusive, non-transferable licence to access and use the Site and any general information materials provided solely for your personal, non-commercial use in connection with our Services. This licence does not permit you to:

• Copy, adapt, or distribute any Content beyond personal use.
• Use any Content for commercial purposes without written consent.
• Remove or alter any copyright or ownership notices.

Any personal documents you bring to a service session remain entirely your own property. We do not retain copies of your personal documents without explicit consent.

6. Payment Terms

All prices are quoted in Thai Baht (฿) and are inclusive of applicable taxes unless stated otherwise.

• Payment timing: Payment is due at the time of booking confirmation or as otherwise agreed in writing.
• Methods accepted: Bank transfer and other methods as communicated at time of booking.
• Cancellations: Where you provide at least 48 hours' notice prior to a scheduled visit or session, a full refund will be offered. Cancellations with less than 48 hours' notice may be subject to a booking fee at our discretion. We will communicate this clearly at time of booking.
• Ongoing plans: The Steady Archive Plan is billed as agreed upon commencement. Either party may discontinue the arrangement with reasonable written notice; a prorated amount will be returned for any unused prepaid period.

7. Service Scope & Limitations

Our Services are strictly limited to general document organisation assistance and the sharing of general educational information. In particular:

• We do not provide legal advice of any kind.
• We do not provide financial, tax, or accounting advice.
• We do not provide medical or health-related advice.
• We do not act as your legal representative or agent in any capacity.
• Any general information we share is educational in nature and applies broadly; it is not tailored to your individual circumstances.

If you require professional advice specific to your situation, we encourage you to consult a suitably qualified professional.

8. Disclaimers

Our Site and Services are provided on an "as is" and "as available" basis. To the fullest extent permitted by Thai law, we make no representations or warranties of any kind, whether express or implied, including but not limited to:

• The completeness, accuracy, or suitability of any Content for any particular purpose.
• That the Site will be uninterrupted or free of errors.
• Any specific outcome or result from using our Services.

Nothing in these Terms limits or excludes liability that cannot be excluded under applicable law, including the Consumer Protection Act B.E. 2522 (Thailand).

9. Limitation of Liability

To the extent permitted by law, Oakvault's total liability to you in connection with any one service engagement shall not exceed the amount paid by you for that specific service.

We shall not be liable for any indirect, incidental, or consequential loss arising from your use of our Services or Site, including loss of data, time, or opportunity, except where such exclusion is not permitted by applicable law.

We are not responsible for any event beyond our reasonable control, including but not limited to illness, natural events, or disruption to infrastructure.

10. Indemnification

You agree to indemnify and hold harmless Oakvault and its team members from any claim, loss, or expense (including reasonable costs) arising from your breach of these Terms, misuse of our Services, or any unlawful act on your part in connection with our Site or Services.

11. Termination

You may discontinue using our Services at any time, subject to the cancellation terms in Section 6.

We may decline to provide, or discontinue providing, Services to you at any time if we reasonably believe you have breached these Terms or if circumstances make it inappropriate to continue. In such cases, we will give reasonable notice and will return any prepaid amounts for services not yet delivered.

Sections 5, 8, 9, 10, and 12 of these Terms survive termination.

12. Dispute Resolution

These Terms are governed by the laws of the Kingdom of Thailand. Any disputes arising under these Terms shall be subject to the jurisdiction of the courts in Chiang Mai Province, Thailand.

Where informal resolution is not possible, the parties may agree to mediation before initiating formal proceedings.

13. General Provisions

• Entire agreement: These Terms, together with any booking confirmation, constitute the entire agreement between you and Oakvault in respect of the Services.
• Severability: If any provision of these Terms is found to be unenforceable, the remaining provisions continue in full effect.
• Waiver: Our failure to enforce any right under these Terms does not constitute a waiver of that right.
• Assignment: You may not transfer your rights or obligations under these Terms without our written consent. We may transfer our obligations with reasonable notice to you.
• Notices: Notices from you to us should be sent to [email protected]. Notices from us to you will be sent to the email address provided at the time of booking.

14. Changes to Terms

We may update these Terms from time to time to reflect changes in our Services, practices, or applicable law. The "Last Updated" date at the top of this page will reflect the most recent revision.

Where changes are material, we will make reasonable efforts to notify you in advance. Continued use of our Site or Services following an update constitutes your acceptance of the revised Terms. We recommend reviewing this page periodically.
